Project Coordinator

 

Position Summary:

Jixaw Technologies, a technical and professional services firm specializing in web development, database customization, and professional services, is seeking a dynamic and experienced Project Coordinator. This role is responsible for defining, managing, and communicating project objectives, creating project plans, and support identifying risks and conflicts. The Project Coordinator will oversee the successful execution of projects, ensuring they are delivered on time, within budget and to the highest quality standards. 

This is a key role for a motivated, self-directed individual with excellent communication skills, who can structure project plans from initiation to completion, problem-solve in real-time, and collaborate across business units to drive project success. 


Key Responsibilities:

  • Project and Planning:
     
    • Plan and manage project timelines and milestones using in-house project management tools; adjust schedules as needed to keep projects on track.   
    • Communicate project expectations and progress to clients, team members, and executives in a timely, clear, and persuasive manner.  
    • Lead cross-functional project teams to deliver projects on time, on budget, and with quality.  
    • Identify and manage project dependencies and critical paths.  
    • Proactively identify and communicate risks, bottlenecks, and resource constraints, implementing action plans as necessary.  
    • Collaborate to ensure dependent tasks are completed on time.  
    • Track project progress, document updates, and ensure clear communication of status to stakeholders.  
    • Identify opportunities for continuous improvement and implement best practices for project delivery.  
    • Develop and document project success criteria, track outcomes, and ensure lessons learned are integrated into future projects.  
    • Support multiple concurrent projects, from planning and scope definition to execution, quality assurance, and delivery.  
    • Coordinate internal and external resources to ensure project success.  
    • Drive customer satisfaction through relationship building and delivering high-quality solutions.  
    • Experience with SQL/Database based projects.   

 

  • Collaboration and Leadership:
     
    • Collaborate effectively with internal teams and external teams ensuring smooth and secure operations. 
    • Liaise closely with third-party vendors and external partners to ensure successful integrations and project implementations. 
    • Provide technical direction support and share knowledge with colleagues to ensure team success. 
    • Document technical processes and procedures for departmental reference and training purposes. 
    • Work independently in a virtual environment, prioritizing and managing a wide variety of tasks and projects. 


Required Qualifications:

  • Education and Experience: 
    • 3-5 years of project support and coordination experience in a professional services or technology environment.  
    • Bachelor’s degree in a relevant field (preferred but not required). 
    • Proven ability to successfully work on multiple complex projects simultaneously, balancing scope, schedule, and budget. 
  •  
    • Experience with change management and stakeholder management. 
  •  
    • Experience supporting web development projects, including overseeing teams of developers, ensuring alignment with client objectives, and deliverables through the full development lifecycle
  •  
    • Experience with project management software (e.g., Jira, Gantt charts). 
  •  
    • PMP certification (preferred). 
  • Technical Skills: 
    • Experience working with ticketing, fundraising, or CRM systems, especially in the arts and culture sector.
      • Familiarity with Tessitura is highly preferred, including integrating or customizing solutions for ticketing, donor management, and fundraising. 
    • Proficiency in Microsoft Office and project management tools.

    • Ability to handle risks and competing priorities in a dynamic environment. 
    • Strong analytical and problem-solving skills, with the flexibility to adapt to changing project needs.
    • Excellent troubleshooting skills and attention to detail. 
  • Communication and Collaboration:
    • Strong written and verbal communication skills, with an ability to communicate with stakeholders at all levels. 
    • Ability to collaborate closely with external vendors and partners, ensuring project success. 
    • Highly organized, able to manage multiple projects simultaneously while maintaining high-quality service and meeting deadlines. 
  • Work Environment: 
    • Work remotely with consideration of multiple time zones. 
    • Ability to work independently as well as part of a team in a virtual environment. 
    • Enjoys working in a dynamic, continually evolving environment and adapting to change.
